What does a wedding coordinator do?

Having worked in the hotel industry for a while I met many couples that asked me if they would need a wedding coordinator, if they could use their best friend or their mother. You do need a professional wedding coordinator, it is essential to make sure your day goes flawlessly.

 

Here are the 3 most important reasons why you need a professional wedding coordinator:

  1. Your venue coordinator/catering or event manager is NOT  your wedding coordinator. Let's make this clear. The duty of the venue coordinator is to prepare the event order, make sure the setup is correct, manage the banquets team, make sure the meal is served on time, if applicable.  This is it, nothing more, nothing less.

  2. Your wedding coordinator will tag along over the last month of wedding preparation, when you already have all the vendors booked. She will prepare a timeline that will be distributed to the vendors on the day of the wedding, she will also contact all vendors prior to the event to make sure the arrival times and contact information are up to date. Your wedding coordinator will be on site on the day of the wedding and will assist with setting up the decor of the ceremony and/or reception and cocktail hour as well as distribute the flowers and boutonnieres, she will make sure that the timeline is being followed. She will be the person to whom all vendors and guests can refer to if there is any question or any problem. Your wedding coordinator will also distribute the gratuities to the vendors. Those are only some of the duties of a wedding coordinator, the responsibility of a wedding coordinator is to make sure that the most important day of your life is executed as you have always dreamed.

  3. Maybe your mother, your sister or your best friends are the people who know you the best but remember that they have never coordinated a wedding, it is not their job and they don’t have the preparation and the experience that a professional has. On top of this, they are your guests, they will also be enjoying the event and would probably prefer celebrating with you rather than worrying over details and timelines. Do you really want to take the chance of something going wrong on your big day and having some of your most important guests trying to fix it?

In conclusion, when you are budgeting your wedding make sure you leave some room for at least a day of (month of) wedding coordinator. There are many out there, make sure they are professional and that they can meet your expectations and budget by meeting with them!
